Bot Privacy Policy

1. Overview

This privacy policy describes how the EM Media Tracker Discord bot ("the bot") handles data. The bot is an internal analytics tool operated by EM Media (Montag Solutions) that runs on our own servers and on partner servers that explicitly invite it. Its sole purpose is to measure and report community growth to us and to our clients.

The bot posts slash commands that return the current member count of a server, tracks how that count develops over time, and generates weekly and monthly recaps in an internal admin panel so we can show clients how a campaign performed.

2. What Data We Process

The bot stores only aggregated, non-personal numbers. For each measurement, the following is written to our database:

• The Discord server (guild) ID
• A timestamp of the measurement
• The total member count of the server at that timestamp

These records describe a server as a whole, not any individual member. No personal data of individual members is collected or stored.

3. What We Do Not Collect

The bot explicitly does not:

• read, store, or process message content
• send direct messages to users or otherwise interact with members
• store user IDs, usernames, nicknames, or avatars
• build or retain member lists
• profile, track, or analyze individual members

4. Guild Members Intent

The bot uses the Discord Server Members Intent solely to keep an accurate member count per server. Without it, the bot would only receive an approximate count at gateway connect and would not receive member-join and member-leave events, so it could not determine whether a server gained or lost members between two points in time.

Member-join and member-leave events are used as a counter only. They are not used to build a member list and are not stored at the level of individual members - they only adjust the aggregated total described in Section 2.

5. Where Data Is Stored

Aggregated measurement data is stored in a database on servers operated by EM Media (Montag Solutions). Access is limited to authorized EM Media personnel for the purpose of producing growth reports.

6. Data Sharing

We share aggregated growth figures for a given server only with the client responsible for that server, as part of campaign reporting. We do not sell data and do not share it with unrelated third parties. Because the bot stores no personal member data, no personal data of individual members is ever shared.

7. Storage Duration

Aggregated measurement data is retained for as long as it is needed to report on and analyze community growth for the respective server. A server owner or client can request deletion of their server's records by contacting us at the address below, and the bot's data for that server will be removed.
